Terms and Conditions
1. CONFIRMATION: Your booking is not confirmed until a full copy of the event agreement is completed and returned to the Hotel and
acknowledgement of receipt and processing has been issued from the Hotel. Once confirmation is received the booking is subject to full terms and
conditions.
2. DIETARY REQUIREMENTS: Please let our team know 7 days prior to your event if you or any of your guests have any specific dietary requirements,
including food allergies or food intolerances.
3. PAYMENT: The client is jointly and severally liable for all outstanding accounts of the hotel’s or any external company’s services (food & beverage,
telephone, laundry etc.), which have been booked and used by the guests as part of this accommodation contract. The mentioned rates and conditions
include current applicable governmental tax. Payment can be made by credit card, bank transfer or by invoice (if agreed upon).
4. NON PERFORMANCE OF CONTRACT: This contract for the event/conference can be terminated free of charge up until 30 days before event. In the
event of a confirmed function not taking, the client shall upon demand of the hotel, pay a fee based on a percentage of the agreed services.
50 % of the group can be cancelled 30 days prior the event with no charge
25 % of the group can be cancelled 20 days prior the event with no charge
10 % of the group can be cancelled 10 days prior the event with no charge
5 % of the group can be cancelled 3 days prior the event with no charge
5. FINAL DETAILS: The client will inform the hotel of final number of guests/delegates at least 7 days prior to the event. If the client fails to provide this
information on time, the hotel will invoice for the total number of delegates quoted and agreed on in this contract.
6. COMMENCEMENT AND VACATING OF ROOMS: The client agrees to begin the function and vacate the designated function space at the scheduled
times agreed upon. In the event that a function should go beyond agreed finishing time we reserve the right to charge additional costs reasonably
incurred to ensure the smooth operation of that function. Should the room be allocated subsequently for any reason, the Hotel reserves the right to
vacate your function from the room.
7. SET UP AND DELIVERY OF EQUIPMENT: Clients are responsible for costs involved in ensuring set up and break down time on all function space. All
deliveries to the Hotel must be advised in writing and agreed upon with the Hotel. Whilst every effort will be made to assist in movement of goods from
the loading bay to the function room, assistance will be offered on the basis of staff available at that time. The Hotel does not have storage facilities
other than rooms booked by the client. The Hotel will take all due care, but accepts no responsibility for the damage or loss of merchandise left in the
Hotel prior, during or after the function.
9. CONSUMPTION: Under no circumstances will the Hotel allow any function to bring in food or beverage to the hotel without prior written permission
from the Hotel.
11. ROOM ALLOCATION: The Hotel reserves the right to assign another room for the organised function in the event the room originally allocated for
such function shall be unavailable (due to unforeseen circumstances) or inappropriate in the opinion of the Hotel, such substitution shall be deemed as
full performance under this contract.
15. SECURITY: The Hotel reserves the right to exclude or eject any or all objectionable persons from the function on the Hotel premises without liability.
Security guards may be required for functions and this is to be determined by the Hotels discretion. Security will be organised by the Hotel and must
be paid by the client. The Hotel is intent on ensuring the safety of both function and Hotel guests. If the Hotel has reason to believe that a function will
affect the smooth running of the Hotel business, its security or reputation, it reserves the right to cancel the function without liability.
16. BASIS OF AGREEMENT: Performance of this agreement is contingent upon the ability of the Hotel to complete same, and is subject to labour
troubles, disputes, strikes or picketing, accidents, government (federal, state or local) requisitions; restrictions upon travel, transportation, food,
beverages, or supplies; equipment failure, and other causes, whether enumerated herein or not, which are beyond the control of the Hotel, in no event
shall the Hotel be liable for the loss of profit or consequential damages, whether based on breach of contract, warranty, or otherwise. In no event shall
the Hotel’s liability be in excess of the total amount contracted hereto.
17. ACCOMMODATION BLOCK – CANCELLATION POLICY
The organiser must notify reservations by written notice of any cancellation or reduction in the daily number of reserved rooms/apartments, as early as
possible, but in any case not later than specified hereunder. Any cancellations not received will be automatically processed. In the event the tour
operator cancels or reduces the confirmed reservation by more than the allowed number of rooms/apartments after the minimum notice has passed, or
should the group fail to arrive without prior cancellation, the Hotel reserves the right to charge a late cancellation or no-show fee based on the
following. Cancellation Policy for bookings up to 20 rooms/apartments
100% of the room nights can be cancelled free of charge until 06 weeks prior to arrival
50% of the room nights can be cancelled free of charge until 04 weeks prior to arrival
25% of the room nights can be cancelled free of charge until 03 weeks prior to arrival
1-2 of the room nights can be cancelled free of charge until 5 days prior to arrival
