General Terms and Conditions for Conference and Group Bookings:
Below you will find Strawberry’s General Terms and Conditions for conference and group bookings.
These terms apply to all conference and/or group bookings made with us at Strawberry, regardless of
whether the booking is made directly through us or through a third party, for instance an event booker.
1. Definitions and interpretation
All prices are stated in the hotel’s local currency and exclusive of VAT, unless otherwise explicitly
stated.
“In writing” – includes notification by email and notification/booking confirmation provided through
such electronic booking tool as provided by us from time to time.
“Customer” – means the legal or natural person specified in the booking confirmation.
“Contract Value” – means the total contract value as stated in the booking confirmation plus any
additional price supplements.
“Break out room” – means group or conference rooms (other than the main conference room) that can
accommodate up to 30 participants.
“Booked number” – means the number of participants and/or the number of hotel rooms as stated in
the original booking confirmation.
“Total Order Value” – means the total order value as stated in the offer and/or the booking
confirmation.
2. Booking
Bookings may be made verbally or in writing. Following the booking, the Customer will be provided
with a booking confirmation, and the booking becomes legally binding upon the Customer’s
acceptance of the booking confirmation. The Customer is responsible for checking and verifying the
booking confirmation for accuracy before accepting it unless otherwise has been agreed in writing.
We reserve the right to request a credit report and require advance payment from the Customer.
3. Cancellations and changes (reductions) to the booking
Changes to and/or cancellations of a booking must be made in writing and must in each case be
confirmed by the hotel. In the event of changes to or cancellation of a booking, the following
conditions and charges will apply:
3.1 Cancellations
Cancellations are permissible free of charge when the cancellation is made in writing to the hotel no
later than 15 days prior to the arrival date. For cancellations made later than 15 days prior to the
arrival date, the following charges will apply, depending on the type of booking:
3.1.1 Conference & Events
− Cancellations between 14 and 6 days prior to the arrival date: The hotel will charge a
cancellation fee equal to 75% of the Total Order Value.
− Cancellations made less than 6 days prior to the arrival date: The hotel will charge a
cancellation fee equal to 100% of the Total Order Value.
3.1.2 Rooms
− Cancellations between 14 and 6 days prior to the arrival date: The hotel will charge a
cancellation fee equal to 75% of the total room cost for the entire stay.
− Cancellations made less than 6 days prior to the arrival date: The hotel will charge a
cancellation fee equal to 100 % of the total room cost for the entire stay.
3.2 Reductions in the number of participants and/or event order
3.2.1 Conference & Event
A reduction of up to 10% of the number of participants / event order is permissible free of charge
between 14 days and 8 days prior to the arrival date. If a reduction larger than 10% of the number of
participants is made, the hotel will charge 100% of the Total Order Value for the full event, less 10%.
If a reduction is made less than 8 days prior to the arrival date, the hotel will charge 100% of the Total
Order Value, regardless of the size of the reduction.
3.2.2 Rooms
A reduction of up to 10% of the allotment is permissible free of charge between 14 and 8 days prior to
the arrival date. If a reduction larger than 10% of the allotment is made between 14 and 8 days prior
to the arrival date, the hotel will charge 100% of the total room cost for the entire stay, less 10%.
If a reduction is made less than 8 days prior to the arrival date, the hotel will charge 100% of the total
room cost for the entire stay, regardless of the size of the reduction.
3.3. Other
In case of delays or late arrival by the Customer and/or participants, the hotel will charge the
Customer the full costs of the rooms and other services booked but not used due to the delay.
In case of no-show by the Customer and/or the participants, the hotel will charge the Customer full
payment for the order corresponding to the Total Order Value.
If the number of participants increases or decreases in relation to the booking, we reserve the right to
move the event to another conference room/meeting room/group room at the hotel that better
accommodates the new number of participants.
Changes to and cancellations of services and products hired or obtained from third parties are subject
to the cancellation rules and terms of such third party, and the hotel shall be entitled to charge for any
products or services obtained for the Customer from third parties.
4. Wholesale distribution
The Customer is not entitled to transfer the booking to any third party or otherwise distribute the
booking in whole or in part without our prior written consent. Should the Customer have been granted
permission for the transfer of a booking, the Customer is not entitled to apply any mark-up or increase
on the rates for rooms and/or breakfast for the end customer.
5. Rates
The agreed rates are binding on the parties unless otherwise stated in these General Terms and
Conditions. We reserve the right to adjust the prices and agreed rates in case of changes in costs due
to increased taxes and fees or other circumstances beyond our control. The agreed rates and prices
are based on the information in the booking, such as the number of participants, etc. If the day of
arrival occurs later than 12 months from the confirmation of the booking, we reserve the right to adjust
the prices and thus the Contract Value according to the net price index (NPI) from Statistics Denmark
at any time. The index adjustment shall be calculated on the entire Contract Value based on the index
for the month in which the booking confirmation took place (base month) compared to the month of
the arrival date. We reserve the right to invoice any price and index adjustment in arrears.
6. Payments
Latest 48 hours (2 business days) prior to arrival your company will receive a payment link for 100%
prepayment. Please inform of contact person responsible for extras on site:

In case of non-payment or late payment, the hotel shall be entitled to cancel the booking/order. In
such cases, the hotel is free from any obligations under the booking or these General Terms and
Conditions, and the Customer shall make the same payment to the hotel as if the Customer had
cancelled the booking under Clause 3 of these General Terms and Conditions.
The Customer specified in the booking is responsible for payment of all costs associated with the
booking. Deposits, Invoices and receipts will be stated as specified in the customer details. For
alternative details this is to be approved by the hotel. If the participants are to pay parts of the order
individually, this must be approved in writing by us in advance. If participants do not show up for
ordered meals or similar services, this does not entitle them to a reduction in price.
7. Use of the premises
You are obliged to take good care of our premises and to use the premises in a way that does not
cause disturbance to our other guests or third parties. You are also required to comply with our
instructions from time to time regarding the use of the premises. The premises may not be used for
activities that violate our Code of Conduct, applicable laws and regulations or in a way that may
damage or risk damaging our property or reputation. The Customer is responsible for any damage
that they or their participants negligently cause to the hotel (including excessive cleaning).
Unless agreed otherwise in writing, the premises may only be used for the purpose communicated to
us in connection with the booking. If, after the booking has been confirmed, it appears that the
Customer has provided incorrect or misleading information regarding the event and the event
contradicts our values, we have the right to cancel or interrupt the event, in which case the Customer
will remain responsible for covering any costs relating to or incurred by us as a result of the booking.
8. Food and beverages
Only food and drink services offered by us may be served and/or consumed on and around our
premises unless we have authorized otherwise in writing.
8.1 SPECIAL DIETS
The hotel accommodates the following special dietary requests:
● 100% plant-based diet
● Vegetarian diets
● Diets related to food allergies (Gluten, milk, fish, peanuts, tree nuts, celery, mustard, eggs, milk,
sesame, fish, crustaceans, molluscs, soya, sulphites, lupin)
● Special diets related to culture and religion (e.g pork restrictions)
● Special diets related to pregnancy
● Special diets related to diabetes
Special diets related to food allergies, medical conditions or cultural/religious beliefs will be substituted
with a vegan diet.
Personal preferences or lifestyle diets, such as LCHF, ketogenic and Atkins diets, are not catered for
and will not be substituted by the hotel.
8.2 SUBMISSION OF SPECIAL DIET REQUESTS - 14 DAYS PRIOR TO THE EVENT
No later than fourteen (14) days prior to the arrival date, the Customer must provide the hotel with a
special diet list (if applicable) for the attending guest(s). This special diet list must be admitted through
the Strawberry template or another pre agreed template. If the list is not submitted fourteen days (14)
prior to the arrival date at the latest, an additional charge of 25% of the menu cost per person will
apply to all special diet requests.
8.3 OTHER
The following additional charges may apply:
● Requests for changes to special diet requests or submission of special diet requests later than
fourteen (14) days prior to the arrival date will incur additional charges.
● For groups that consist of 250 people or more, if more than 10% of the number of guests requests a
special diet, an additional charge of 10% of the menu price per person (food) will apply to the extra
special diets exceeding 10%
● Deviations from the pre-ordered special diets: If additional menus are prepared because individuals
who requested a special diet choose regular food, or vice verca, those who ordered a special diet ate
regular food or vice versa will be charged at 100% of the menu price.
9. Availability
Our premises are available during the times indicated in the booking confirmation. If the event
proceeds beyond the specified end time, we are entitled to compensation for our additional costs and
expenses and losses incurred as a result. The hotel also reserves the right to remove any items from
the conference/group/meeting room after the agreed end time. The hotel may, at its discretion, store
such items on behalf of the Customer. Any storage of the Customer’s items may incur an additional
charge.
10. Strawberry’s right to cancellation
In the event of a strike, lockout, fire, natural disaster, explosion, war or similar state of war, significant
restrictions on deliveries, pandemic, intervention by public authorities, or any other circumstance
beyond Strawberry’s control, we are entitled to cancel the contract and thus cancel the booking in
whole or in part without any obligation to pay compensation for damage or loss incurred as a result of the cancellation.
11. Liability for valuables
Strawberry shall not be liable for any loss of or damage to property kept in hotel rooms, group rooms,
conference rooms, break out rooms or other areas. If loss or damage have been suffered due the
gross negligence or willful misconduct of the hotel or its employees, the hotel is liable for the
lost/damaged property. The hotel is responsible for property stored in a locked storage space provided
by the hotel, provided that the property is not of particularly high value (and nothing else has been agreed to in writing).
12. Cancellation and damages
We reserve the right to cancel your booking effective immediately if you are clearly in violation of or
intend to violate these General Terms and Conditions or the booking terms. To the extent we suffer
damages due to violation of these General Terms and Conditions, we are entitled to corresponding
compensation from you.
13. Use of visual material
You are only entitled to use photographs and advertising texts relating to the hotel (including those
available on the hotel's website) for marketing purposes provided that this is done in a responsible
manner and we have given prior written consent to the use.
14. Confidential information
If you wish for us to treat information and documentation you provide us with in connection with the
booking as confidential, this must be stated in connection with the booking and be noted in the
booking confirmation. The same applies if you wish for us to treat information and documentation you
provide us with in connection with your event as confidential.
15. Court of law
All disputes arising out of these General Terms and Conditions shall be settled in accordance with
Danish law. If the dispute cannot be settled out of court, the hotel’s jurisdiction shall apply, unless
mandatory consumer contract laws state otherwise.
